How to Send Party Invitations by WhatsApp, Text or QR Code (and Still Get RSVPs)

How to invite people over WhatsApp, iMessage or a group chat without losing track of replies: share an invitation link, use a QR code, and keep the headcount out of the chat.

Most invitations today land in a group chat. That’s quick, and it’s where everyone is, but the chat is a terrible place to count replies. The fix is simple: share a link to an invitation, and let the replies go there.

Why replies in the chat go wrong

  • “I’m in!” scrolls away under forty other messages.
  • “Probably” never turns into a yes or no.
  • Nobody can see the total, so you ask again.
  • Dietary needs come up on the day.

The better way

  1. Make an online invitation with the date, place and a reply-by date. Step by step.
  2. Copy its share link and paste it in the chat with a short message.
  3. Guests tap, reply, done. Their answer, plus-ones and dietary needs go into one list.
  4. Check the list, not the chat.

Message to send with the link

  1. Party at ours on Saturday! Details and reply here: [link]
  2. Birthday drinks Friday, 7pm. Tap the link so I know numbers: [link]
  3. BBQ Sunday! Reply in the link, and tell me if you’re bringing anyone: [link]
  4. Baby shower invitation for Ana is here: [link]. Please reply by the 14th.

QR codes

Put the invitation’s QR code on:

  • a printed card or flyer,
  • a poster in the office kitchen,
  • a slide at the end of a meeting.

People scan and reply on their phone.

Open link or approved guests?

An open share link means anyone with it can reply, so it may get forwarded. If that matters, use a link where you approve each new person, or send personal invitations by email instead.

Doing it with TeamRally

TeamRally Invitations gives every event a share link and a QR code. You choose whether anyone with the link can reply or whether you approve each person, and guests who reply through the link give just a name and email, with no app or account. Free for up to 100 guests.
