How to Ask for an RSVP Politely: 30 Reminder Messages That Aren't Awkward

Polite RSVP reminder messages for parties, weddings and work events: friendly, firm and last-call versions for text, email and the group chat, and when to send them.

Chasing replies is the worst part of hosting. The good news is that most people who haven’t replied simply forgot. A short, friendly reminder with a reason usually does it. Here’s wording for every stage and every channel.

When to remind

  • First reminder: three to five days before the reply-by date, to non-replies only.
  • Final nudge: the day after the deadline, for weddings and anything catered.
  • Day-before message: to everyone who said yes, with the time and address.

Friendly (first reminder)

  1. Quick reminder to reply for Saturday! We’re booking the table on Wednesday.
  2. Hope you can make it on the 14th. Could you let us know by Friday?
  3. Just checking you saw the invite for Maya’s party. Would love to see you there.
  4. Friendly nudge: replies for the baby shower are due on Sunday.
  5. We’re putting together numbers for the food. Can you let us know if you’re coming?
  6. No pressure, but I’d love to know if you can make it on Saturday.

Firmer (as the deadline nears)

  1. Replies close tomorrow. Please let us know either way so we can confirm numbers.
  2. The venue needs final numbers by Friday. Can you reply today?
  3. We need to finalise the guest list by Monday. Please reply in the link.
  4. Last call for replies! We’re ordering the food tomorrow.

Final (after the deadline)

  1. We haven’t heard from you, so we’ll assume you can’t make it, but we’d love to be wrong. Let us know today if you can come.
  2. Final numbers go to the caterer tomorrow. If you’re coming, please reply tonight.
  3. Sorry to chase! We just need a yes or no for Saturday.

Weddings

  1. A gentle reminder that replies for Leila and Tom’s wedding are due on 1 May.
  2. We’d love to have you there. Could you reply, and tell us about any dietary needs, by 1 May?
  3. The caterer needs final numbers next week. Please reply if you haven’t yet.

Work events

  1. Reminder: please reply for the team dinner by Wednesday so we can book.
